Terms of Services – NOVA VRX

Effective Date: May 1, 2025

Welcome to NOVA VRX, Nordic's first destination for walking immersive VR experience theater.

 

By accessing our website, booking system, visiting our venue, or participating in any of our VR experiences (collectively referred to as “Services”), you agree to comply with the following Terms of Service (“Terms”). Please read them carefully.

These Terms also incorporate our Booking Terms & Conditions, which together govern all interactions with NOVA VRX.

1. Eligibility and Age Guidelines

  • NOVA VRX experiences are recommended for children aged 5 and above. Children under the age of 5 will not be admitted.

  • Children under 14 must be accompanied by a parent or legal guardian aged 18 or older at all times during the experience.

  • Guests aged 5 to 12 must purchase a valid child ticket; guests aged 12 and above require an adult ticket.

  • If an incorrect ticket type is booked (either online or in-store), guests are required to pay the balance before entry.

2. Health and Experience Suitability

NOVA VRX experiences are immersive and may include:

  • Fast motion or rapid scene transitions

  • Flashing lights and strobe effects

  • Deep-sea or underwater simulations

  • High-altitude environments or launching sequences

  • Claustrophobic or tight, enclosed spaces

Guests must not participate in any VR experience if they are under the influence of alcohol, drugs, or are otherwise physically or mentally impaired in a way that may affect balance, judgment, or motion perception. Participants with known sensitivities (such as claustrophobia, acrophobia, thalassophobia, or epilepsy) must inform our staff in advance and assess suitability before booking. It is your personal responsibility to determine whether the experience is appropriate for you or your child. All participation is at your own risk.

3. Safety Guidelines and On-Site Behavior

To ensure a safe and enjoyable environment for all guests, you are required to:

  • Follow all instructions provided by NOVA VRX staff

  • Properly wear and handle the VR equipment provided

  • Refrain from running, jumping, or engaging in erratic movement

  • Avoid any form of excessive physical aggression. Some limited contact may occur as part of team-based experiences, but intentional pushing, shoving, or aggressive behavior is strictly prohibited

  • Respect the gameplay boundaries and your teammates

NOVA VRX reserves the right to terminate any session immediately without refund if any participant is deemed to be a risk to themselves, others, or equipment. NOVA VRX reserves the right to pursue compensation for any damage to our products, equipment, or property caused by participants, whether intentional or due to negligence.

4. Pricing, VAT, and Accepted Payments

  • All prices for VR experiences are quoted in Euros (€) and include VAT, in accordance with Finnish tax regulations. A booking fee may apply to online purchases and will be clearly displayed at checkout before payment is completed.

  • Other services and retail items are also subject to VAT based on their respective classifications under Finnish law.

  • A non-refundable deposit is required at the time of booking to confirm a reservation. The remaining balance may be paid online or at the venue.

  • Accepted payment methods include:

    • Visa

    • Mastercard

    • Cash (in-store)

  • We do not accept American Express, UnionPay, or other unsupported payment platforms.

5. Bookings, Cancellations, No-Shows, and Refund Policy

  • All tickets are non-refundable and non-exchangeable once booked. Please double-check your chosen time, date and VR content before confirming your booking.

  • If you are unable to attend, you may transfer your ticket to a friend or family member for your booking time and inform us as soon as possible. 

  • We are unable to offer refunds for duplicate bookings or incorrect selections.

  • Discount codes must be applied at the time of purchase. We are unable to apply discounts retroactively.

  • Bookings may be rescheduled with no penalty at least 24 hours in advance.

  • Failure to attend (no-shows) with reservations will not be refunded.

  • Digital purchases, such as VR bookings or downloadable items, are non-refundable under all circumstances.

  • Once the VR experience has started, no refund will be issued, regardless of whether the session is interrupted due to player's prohibited behaviors or voluntarily ended for any reasons such as experience motion discomfort, etc. 

  • If NOVA VRX must cancel due to technical malfunctions or health & safety concerns, guests will be offered the option to reschedule.

  • Physical merchandise purchased in-store may be returned within 14 days, provided it is unused, in its original packaging, and accompanied by the original receipt.

6. Arrival and Entry Conditions

  • Guests must arrive at least 15 minutes prior to their scheduled booking time to allow for check-in and orientation.

  • Final admission to the venue is 8:00 PM.

  • Entry requires presentation of a valid ticket, either printed or digital (QR code or confirmation).

  • Please avoid bringing large bags, luggage, valuables, or unnecessary personal items. 

  • The following items are not permitted inside the venue:

    • Scooters

    • Skates or rollerblades

    • Bicycles or e-bikes

    • Any similar wheeled devices that may damage the venue

  • Participants may be subject to security checks upon entry. 

7. Accessibility

  • The NOVA VRX venue and experiences are wheelchair-accessible and pushchair-friendly.

  • Guests requiring specific accommodations are encouraged to contact us in advance to ensure optimal arrangements.

8. Experience Adjustments and Operational Disruptions

  • NOVA VRX reserves the right to cancel, postpone, or modify experiences at short notice due to:

    • Safety hazards

    • Technical malfunctions

    • Extreme weather conditions

    • Staffing emergencies

  • In such cases, we will attempt to notify all affected customers via email or SMS as soon as possible on the day of the scheduled visit, and offer a suitable rescheduling option.

  • Prices, schedules, and ticket availability are subject to change without prior notice.

9. User Conduct and Responsibility

All participants are expected to behave responsibly and respectfully. You agree not to:

  • Engage in disruptive, aggressive, or unsafe behavior

  • Harass or intimidate other visitors or staff

  • Damage, misuse, or tamper with VR equipment or facilities

  • Record or distribute any in-game content without explicit written consent

  • Circumvent staff instructions or NOVA VRX safety protocols

Any intentional or negligent damage to equipment (e.g., headsets, controllers, sensors, computers) will result in full financial liability for repair or replacement costs. NOVA VRX reserves the right to seek legal compensation if necessary.

10. Photography, Filming, and Media Use

  • Visitors are welcome to take photos or videos of their experience for personal use.

  • Posting to social media is encouraged using our official tags. #NOVAVRX 

  • Drone use is strictly prohibited, unless arranged and approved in writing in advance.

  • By entering the venue, you consent to NOVA VRX filming or photographing you, and grant us the right to use such material for marketing, promotional, or commercial purposes, without additional consent or compensation.

11. Prohibited Items and On-Site Conduct

The following are strictly prohibited within NOVA VRX premises:

  • Alcohol or drugs

  • Fireworks, flares, glass bottles

  • Laser pens or unauthorized electronic devices

  • Private sound systems

  • Unauthorized trading or selling of goods

  • Smoking is not allowed inside any indoor areas. Please use designated outdoor smoking areas, where applicable, and follow signage.

Please help keep the venue clean by using the accessible bins. Guests must treat the venue and staff with respect at all times.

12. Limitation of Liability

NOVA VRX is not responsible for:

  • Any injuries or discomfort resulting from pre-existing medical conditions or undisclosed phobias

  • Motion sickness, anxiety, or physical reactions caused by immersive VR content

  • Personal property loss, damage, or theft

  • Technical failures caused by external systems (e.g., payment platforms)

Participation in any NOVA VRX experiences is entirely at your own risk.

13. Governing Law and Dispute Resolution

  • These Terms are governed by the laws of Finland.

  • In the event of a dispute, both parties agree to first seek negotiation resolutions.

  • If unresolved, disputes will be handled exclusively by the District Court of Helsinki, unless otherwise required under EU consumer protection laws.

  • These terms and conditions are subject to change in line with any updates to legislation or internal policy changes.
